Virtual Business Cards

The ACWWA Conference APP allows the exchange of Virtual Business Cards. Each attendee and exhibitor's attendance badge will have a QR code; by scanning other attendees' badges, you can exchange virtual business cards and seamlessly add them to your mobile device's contacts application.

It is important to note that the virtual business cards feature is entirely optional; users can opt out of it completely, either within the application or by simply not activating it. All other mobile app features can still be used without activating the Virtual Business Cards.

In the final video, we see Lydia receiving the Virtual Business Card and adding it to the contacts on their smartphone, the same phone that made the original request. The contacts on your phone will sync back to Gmail, Outlook, etc., depending on how your phone is configured.

Virtual Business Cards require the use of a smartphone, Android or iPhone. Text Messaging is used to activate the application, so at this time, using tablets is not supported.  However, tablets can be used for all other functions of the Conference APP.

To provide and receive Virtual Business Cards, the Conference APP on your device must be activated. Both parties must activate the feature, the person requesting the Virtual Business Card and the Person providing it.

Activating Virtual Business Cards is done by scanning the QR code on your badge. A text message with a 4-digit activation code will be sent to your Mobile Phone Number provided during the conference registration. Once this code is provided to the APP, you will be shown the contact details that will be provided to others. These contact details are initially set to those provided during conference registration but can be edited at anytime using the APP.

You will not have a QR Code on your badge if a Mobile Phone Number was not provided during registration. If you wish to use the Virtual Business Cards, please provide a phone number to the registration desk so we can produce a new Badge with a QR Code.

A minimal amount of information is collected from Exhibitors during conference registration. For exhibitors, the Mobile Phone Number is not collected in advance; therefore, Exhibitors can self-register the Conference APP. Self-registering allows the Exhibitor to provide the phone number the activation code is texted.

Privacy Settings

During the development of the feature, privacy has been a significant concern.

Three Privacy Settings are available for sharing Virtual Business Cards. The settings are set during registration but can be edited anytime using the Conference APP. The Privacy settings can be changed in the Edit Business Card option in the User Settings.

  • Available to anyone
    • Other users can access your electronic business card just by scanning your QR code as long as you have activated the App using the QR code on your conference badge. ‘After Initial authorization’ is the recommended setting for vendors and exhibitors.
  • Available upon request
    • When other users scan your QR code, you will get a Notification in the Conference APP with the name of who is requesting your business card. Through the Conference APP, you can either accept or deny the request.
    • This option is shown in the above video.
  • Not available.
    • Other users, under no circumstances, can access your business card through your QR code, effectively opting out of the feature entirely.

 If you are unsure which setting to go with, we recommend going with ‘Available upon request.’ However, vendors and exhibitors should go with ‘Available to anyone,’ especially if they typically hand out physical business cards.

Technical Details

We use Two Factor Authentication (2FA) using SMS text messaging to activate the Conference APP.

While anyone can download the Conference App from the Google Play Store or the Apple App Store, you will require a QR code generated by ACWWA to activate the Virtual Business Cards. Therefore, the availability of Virtual Business cards is by invitation only.
